Privacy Policy

This policy explains how RecruitDash ("we", "us") collects, uses, and protects information when you use the RecruitDash service at recruitdash.app (the "Service"). It covers both information about you as an account holder and the recruiting data your organization stores in the Service.

Account information. Your name, email address, and authentication details, managed through our sign-in provider, Clerk.

Customer Content. The recruiting data you and your team enter: candidate, client, and job records, notes, messages, and uploaded files such as resumes. Your organization controls this data; we process it only to provide the Service.

Billing information. Payments are handled by Stripe. We never see or store full card numbers; we keep only subscription status, plan, and invoice metadata.

Usage data. Aggregate, privacy-friendly analytics about page views and feature usage (via Vercel Analytics, which does not use cookies or track you across sites), plus operational logs and error reports used to keep the Service reliable.

RecruitDash is a tool for recruiting teams. When your organization adds candidates or contacts, your organization is the controller of that data and we act as its processor. Your organization is responsible for having a lawful basis to store that information and for responding to candidates' requests about their data. If a candidate contacts us directly, we will refer the request to the organization that holds their record and assist as needed.

• To provide, secure, and improve the Service.
• To process subscriptions and send billing notices, receipts, and renewal reminders.
• To send product emails such as invitations and mention notifications. You can turn notification emails off in Settings.
• To respond to support requests and investigate errors and abuse.

We do not sell your personal information or Customer Content, and we do not use Customer Content for advertising.

When you use AI features (the assistant, drafting tools, and semantic search), relevant portions of your Customer Content are sent to our AI model providers (currently Anthropic and OpenAI, accessed through Vercel's AI Gateway) to generate responses and search embeddings. We use these providers under API terms that do not permit them to train their models on your content. AI features only access data belonging to your own organization.

We share data only with the subprocessors that run the Service:

• Clerk — authentication and user accounts.
• Convex — application database and backend.
• Vercel — web hosting, analytics, and AI gateway.
• Stripe — payment processing.
• Resend — transactional email delivery.
• Anthropic / OpenAI — AI model providers for assistant and search features.

Each provider processes data only as needed to perform its function. We may also disclose information if required by law or to protect the Service and its users.

Your data is retained while your account is active. Records you delete in the app are removed from active use; encrypted backups are retained for up to 30 days before rotation. If you close your account or your subscription ends, you may request an export, and we will delete your organization's data within a reasonable period after a verified request to hello@recruitdash.app, except where retention is required by law (for example, billing records).

Data is encrypted in transit and at rest by our infrastructure providers. Access to production data is restricted, organizations are strictly isolated from one another, and backups are encrypted. No system is perfectly secure; if we learn of a breach affecting your data, we will notify you as required by law.

We use only the cookies needed to sign you in and keep your session secure (set by Clerk). We do not use advertising or cross-site tracking cookies.

Depending on where you live, you may have rights to access, correct, export, or delete your personal information. Account holders can exercise most of these directly in the product; for anything else, contact us at hello@recruitdash.app and we will respond within the time required by applicable law.
